Documents Checklist for Study Abroad Applications

Missing or inconsistent documents are among the most common reasons for delays in applications and visas. Preparing everything in advance makes the whole process smoother.

Requirements vary by country and university, but the checklist below covers what most students need.

Quick answerPrepare academic records, test scores, identity documents, your SOP, CV, recommendation letters and financial documents before you start applying.

Academic documents

  • Class 10 and Class 12 mark sheets and certificates
  • Degree certificate and transcripts (all semesters)
  • Provisional certificate, if your degree is not yet awarded
  • Backlog or medium-of-instruction certificate, if required

Test scores

  • English test score report (IELTS, PTE, TOEFL or Duolingo)
  • GRE, GMAT or SAT score report, if required

Personal and application documents

  • Passport valid for your whole course
  • Statement of purpose
  • CV or résumé
  • Letters of recommendation
  • Portfolio for design or architecture programs

Work and financial documents

  • Experience and relieving letters
  • Salary slips, if relevant
  • Bank statements and income proof of sponsors
  • Education loan sanction letter, if any

Tips

  • Make sure names and dates of birth match exactly across all documents.
  • Scan documents in colour at good resolution.
  • Keep both digital and printed copies.
  • Get attested or notarised copies if your university asks for them.
  • Check passport validity early: renewals take time.

Which documents are needed at which stage

Stage Documents usually needed
Application Transcripts, test scores, passport copy, SOP, CV, LORs
Offer acceptance Signed offer, deposit receipt, final transcripts if the offer was conditional
Education loan Offer letter, fee structure, KYC, co-applicant income and collateral papers
Visa CAS, I-20, CoE or acceptance letter, proof of funds, test scores, medical and biometric records
Travel and arrival Visa, original certificates, insurance, accommodation confirmation

How to organise your files

  1. Create one main folder with subfolders for academic, tests, personal, financial and work documents.
  2. Name files clearly, for example “Surname_Class12_Marksheet.pdf”, so you can find them quickly.
  3. Save scans as PDFs under the size limit most portals set, usually a few megabytes.
  4. Combine multi-page documents such as semester transcripts into a single PDF in the right order.
  5. Keep a cloud backup and a pen drive copy, and carry a printed set when you travel.

Common problems that cause delays

  • Transcripts from universities that take weeks to issue; request them early from your college office.
  • Missing backlog certificates or unexplained gaps in education.
  • Blurry phone photos instead of proper scans.
  • Expired or nearly expired passports.

Who needs extra documents

Some students need more than the standard list. If you have a gap of a year or more, keep evidence of what you did, such as job letters, course certificates or medical records. Students with backlogs should keep the backlog certificate from their university. Applicants to design, architecture or media programs need a portfolio, and those applying to research degrees may need a research proposal and writing samples.

Frequently asked questions

Do I need to translate documents?

Indian documents in English are usually accepted; documents in other languages need certified translations.

What if my name is spelled differently on documents?

Get an affidavit or correction before applying to avoid problems.

Should I send originals?

Usually not; universities accept scanned copies at the application stage.

Do I need WES or other credential evaluation?

Some US and Canadian universities ask for it. Check each university’s international admissions page before paying for one.
